Visitor Relations Receptionist
Office of Admissions

SUMMARY:

Provide efficient coordination of all incoming calls requesting information and/or interview appointments in a friendly and courteous manner. Maintain interview appointment calendar and schedule campus visits. Provide administrative support for campus events programs. Assist with processing application materials.

RESPONSIBILITIES:

  • Answer phone promptly with a strong customer service orientation
    • Add or update prospect information in data base
    • Schedule interview and preview visit appointments
  • Send visit confirmation to prospective students prior to visit
  • Record daily visitors and input visitor data
  • Produce daily log and welcome sign
  • Provide secretarial support for on-campus events by producing accurate lists, name tags, and schedules for each event
  • Input data for campus event attendees
  • Produce reports for campus events outcomes
  • Shared responsibilities would include: filing, word processing, photocopying, data entry, and assistance with various mailings
  • Assist with processing applications and supporting documents as needed
  • Perform other duties as assigned

QUALIFICATIONS:

A high school diploma and one to three years of secretarial experience. The ideal candidate will be a highly organized and detail-oriented individual able to work under pressure and time constraints. In addition, the candidate needs excellent written and oral communication skills. Candidates should possess strong customer service skills and enjoy working as a member of a team. Proficiency with word processing, spreadsheet and presentation software, preferable Microsoft Word, Excel, and PowerPoint. Experience with database software, preferably PeopleSoft. Must be able to work with and maintain extremely confidential and sensitive information.

OTHER INFORMATION:

This is a full-time 12-month, benefits-eligible, administrative salaried/non-exempt position. Normal campus hours of work are 8:30 a.m. to 5:00 p.m., Monday through Friday. Additional hours and Saturdays are required on occasion. This position description is not all-inclusive as other tasks or responsibilities may be assigned.
